Booking Policy

Please review our booking policy carefully before making a reservation with OFFMAP Travel. This policy outlines important information regarding bookings, payments, cancellations, and other essential details.

1. Booking Process

1.1. To secure a booking with OFFMAP Travel, you must:

  • Complete our booking form with accurate information
  • Pay the required deposit (or full payment if booking within 60 days of departure)
  • Receive a booking confirmation from us

1.2. Your booking is not confirmed until you receive written confirmation from OFFMAP Travel and the required payment has been processed.

1.3. By making a booking, you confirm that you have read, understood, and accepted our Terms and Conditions and this Booking Policy.

2. Payment Schedule

2.1. Deposit:

  • A non-refundable deposit of 30% of the total tour cost is required to secure your booking
  • For custom or private tours, the deposit may be higher (typically 40-50%)

2.2. Final Payment:

  • The remaining balance must be paid no later than 60 days before the tour start date
  • For bookings made within 60 days of the tour start date, full payment is required at the time of booking
  • If the final payment is not received by the due date, OFFMAP Travel reserves the right to treat the booking as canceled and apply the cancellation policy

2.3. Payment Methods:

  • Credit/debit cards (Visa, MasterCard, American Express)
  • Bank transfers
  • PayPal

2.4. All payments must be made in US Dollars (USD) unless otherwise specified.

3. Pricing

3.1. All prices are quoted per person and based on double occupancy unless otherwise stated.

3.2. Single Supplement: Solo travelers or those requesting private accommodations will be charged a single supplement, which varies by tour.

3.3. Price Changes: While we make every effort to maintain our advertised prices, we reserve the right to adjust prices due to significant currency fluctuations, government actions, or increases in service costs. If a price increase exceeds 10% of the total tour cost, you have the right to cancel with a full refund.

3.4. What's Included/Not Included: Each tour description clearly states what is included and not included in the tour price. Please review this information carefully before booking.

4. Cancellation and Refund Policy

4.1. Cancellation by You:

All cancellations must be made in writing to OFFMAP Travel. The following cancellation fees apply:

  • More than 60 days before tour start date: Loss of deposit
  • 30-60 days before tour start date: 50% of total tour cost
  • Less than 30 days before tour start date: 100% of total tour cost
  • No-show or early departure from a tour: 100% of total tour cost

4.2. Cancellation by OFFMAP Travel:

We reserve the right to cancel any tour for the following reasons:

  • Insufficient participants (you will be notified at least 30 days before departure)
  • Force majeure events (natural disasters, political instability, etc.)
  • Safety concerns that cannot be mitigated

In such cases, you will be offered:

  • A full refund of all payments made to OFFMAP Travel
  • OR the option to transfer to another tour (any price difference will be adjusted)

OFFMAP Travel is not responsible for any incidental expenses you may have incurred as a result of your booking, such as visas, vaccinations, non-refundable flights, or loss of enjoyment.

5. Changes to Bookings

5.1. Changes by You:

  • If you wish to change your booking (e.g., transfer to another tour, change dates), we will make reasonable efforts to accommodate your request
  • Changes made more than 60 days before departure: $100 administration fee
  • Changes made within 60 days of departure: treated as a cancellation and rebooking, subject to cancellation fees

5.2. Changes by OFFMAP Travel:

We may need to make changes to tour itineraries due to weather, road conditions, or other unforeseen circumstances. We will notify you of any significant changes as soon as possible. If a major change is made (e.g., change of destination, reduction in tour length by more than 20%), you may choose to:

  • Accept the change
  • Transfer to an alternative tour (price difference will be adjusted)
  • Cancel with a full refund

6. Travel Insurance

6.1. Comprehensive travel insurance is mandatory for all OFFMAP Travel tours. Your policy must include:

  • Emergency medical coverage (minimum $200,000)
  • Medical evacuation coverage
  • Trip cancellation and interruption coverage
  • Coverage for adventure activities included in your tour

6.2. You will be required to provide proof of insurance prior to departure.

6.3. We strongly recommend purchasing insurance at the time of booking to cover potential cancellation fees.

7. Special Requirements

7.1. If you have any special requirements (dietary, medical, or otherwise), please inform us at the time of booking. We will make reasonable efforts to accommodate your needs, but cannot guarantee all requests can be met.

7.2. Some of our tours involve physically demanding activities. It is your responsibility to ensure you are physically capable of participating in the tour activities. Please consult your doctor if you have any concerns.
